PREPARATION OF JOB DESCRIPTION (JD) AND MYPORTFOLIO WITHIN HRPORTAL AND HRMIS SYSTEM BY BKUPM STAFF

SERDANG, March 21 - The Job Description (JD) and MyPortfolio Preparation Workshop in the UPM HRPortal system and the Human Resource Management System (HRMIS) of the Public Service Department, UPM Counseling Division was held in the Meeting Room, UPM Counseling Division. This physical workshop was held starting at 10.00 am for all staff on 21 March 2024. Before that, two (2) series of briefings were also held to give understanding to all staff how to fill in and what information is required. The two (2) series of initial briefings were held on 22 January 2024 at UPM's Counseling Division and on 29 February 2024 at Laboratory 1&2, Faculty of Engineering, UPM in collaboration with UPM's Institute of Nanoscience and Nanotechnology (ION2). Job Description and My Portfolio are official reference documents to describe information on the creation of positions, work processes and guidelines for carrying out tasks for a position in an organization.

Under the HR Portal and HRMIS systems, the functional job description is a document that explains the purpose of creating a position by taking into account the accountability components, dimensions and competencies required for a position in the organization. It helps to translate the results of certain tasks more clearly in line with the objectives of the establishment of an agency. It is also in line with the objective of a position which is in principle created based on the wage rate for the job (rate for the job). Clear and specific accountability can help incumbents carry out their duties more effectively, equivalent to the grade of the assigned position. The content of the Job Description function contains 'General Information of the Position', 'Purpose of Creation of the Position', 'Accountability', 'Main Task', 'Dimensions', 'Academic Qualifications', 'Competence' and 'Experience'.

On the My Portfolio function, all the components related to the duties of a position are entered in order, namely 'Organization Chart', 'Position Position', 'Function Chart', 'Activities for Functions', 'Task Description', 'Work Process', ' Flow Chart', 'Checklist', 'List of Laws', 'Regulations and Sources of Authority', 'List of Forms', 'List of Committee Members' are the contents that need to be included.

By filling in these two systems, that is in HRPortal UPM and also HRMIS JPA, access to documents is faster and more detailed, followed by staffing planning and more systematic position functionality.
